Late Cancellations/ No Shows

Hi [(first name)]

No Shows/ Late Cancellations

Please accept apologies for any cross posting - I need to ensure all members have this email.

Following email circulars to club members, joint discussion with school/ club/ Mycourts and an additional open members meeting it has been agreed to put the following in place.

Penalty for 'Late Cancellation' (within 48 hours or less) and 'No Shows'

This can be managed directly via the Mycourts software and has no impact on members who book courts and play according to their schedule. It works on the premise that each members Mycourt account is notionally in credit. For any late cancellations/ no shows incurred then the system will 'charge' the member's account £5. This will register as a deficit against their account and as a result their account will become inactive (i.e. that member can no longer make bookings).

For the member to reinstate their booking facility the incurred debt will have to be paid. This facility will be available on Mycourts and will involve a debit/ credit card transaction. When in credit the account will automatically become active.

This will be subject to appeal, direct to the chair, and refund's applied, case by case, if upheld.

This process will become live from the new subscription year (1st August 2017). In tandem with this process we are discussing with school/ Mycourts an online subscription payment system which should radically improve membership payments.

Im more than happy to discuss this with members on an individual basis as and when. Driving this action is the need to adapt/ change booking behaviour of the few and we hope that you fully understand that for those that book/ play etc within the spirit of the system they will not - and I emphasis not - be penalised in anyway.

A review of this new process will be undertaken in January 2018.
